// THE SHORT VERSION

We collect what we need to run a training camp. We do not sell your information. We do not share it with advertisers, data brokers, or third parties for marketing. Your data is held by us and our direct service providers (payment processor, email platform, hosting). That's it.

If you want your information removed from our records at any time, email charlie@camp-vertex.com and we'll handle it within thirty days. The full version of this policy is below.

Two categories. Information you give us. Information collected automatically when you visit the site.

Information you give us includes anything you enter into a form on this site or send us by email. Your name, email address, phone number, organization, mailing address, and any context you write into a message field. When you register for a camp, we additionally collect emergency contact information, medical disclosures relevant to training, dietary restrictions, and payment details handled through our payment processor.

Information collected automatically includes basic technical data your browser sends to any website: IP address, browser type, device type, operating system, referring URL, and pages visited. We use this for site analytics and security, not advertising.

// 02  ·  HOW WE USE IT

To run camps. To answer your questions. To send you camp dates and dispatches if you've signed up for them. To process registration and payment. To make sure we can reach a family member if you get hurt. To plan meals around your dietary needs. To improve the website based on what people actually use.

We do not use your information to build advertising profiles, retarget you across the internet, or sell it to anyone. We do not run third-party advertising tracking on this site.

// 03  ·  WHO HAS ACCESS

Camp Vertex staff and our direct service providers. Nobody else.

Our service providers are limited to: the platform that hosts this website (Squarespace), our email platform (used to send camp updates and the newsletter you opted into), our payment processor (handles transactions; we do not store your full card number), and the property where camps are held (Skyfall Reserve / Monarch Ranch Properties; they receive your name and emergency contact for on-site safety).

If law enforcement presents a valid subpoena or court order, we will comply with it. We will tell you about the request unless we are legally prohibited from doing so.

// 04  ·  COOKIES

We use the minimum cookies required for the site to function. Squarespace, our hosting platform, sets cookies for site performance, basic analytics, and to remember your preferences if you've interacted with the site before. We do not run advertising cookies, retargeting pixels, or third-party tracking scripts.

You can disable cookies in your browser settings. Most parts of the site will still work; some features (like form submission) may not.

// 05  ·  PHOTOGRAPHY & MEDIA

Camps are photographed and occasionally filmed for marketing and archival use. By participating, you grant us a non-exclusive, royalty-free license to use your likeness and any captured media. This is also covered in your training agreement.

If you do not want to be photographed, tell us in writing before you arrive (charlie@camp-vertex.com) and we will accommodate. If a photo of you has been published and you want it removed, email us and we will remove it within thirty days.

// 06  ·  YOUR RIGHTS

You can ask us what data we have on you, ask us to correct it, or ask us to delete it. Email charlie@camp-vertex.com from the address we have on file and we will respond within thirty days.

If you are a resident of California, the EU, the UK, or another jurisdiction with data protection laws, the rights granted by those laws apply to you, and we will honor them. The contact email above is the channel for any such request.

We will not retaliate against you for exercising any of these rights. We will not charge you for exercising any of these rights.

// 07  ·  RETENTION

We keep your registration records for seven years after your last camp. This is what our insurance and accounting requirements look like. Newsletter subscribers are kept until you unsubscribe. Inquiry-form submissions that don't lead to a registration are deleted after eighteen months.

You can override these defaults at any time by emailing us and asking for early deletion. Some records (financial transactions, signed agreements) we are legally required to retain regardless of your request.

// 08  ·  SECURITY

The site uses HTTPS encryption. Our hosting provider, payment processor, and CRM all run their own security programs at the platform level. We do not store payment card numbers. We use strong passwords and two-factor authentication on the accounts that have access to your data.

No system is one-hundred-percent secure. If we ever experience a breach affecting your information, we will notify you in accordance with applicable Texas and federal law.

// 09  ·  CHILDREN

Camp Vertex is for adults eighteen and older. We do not knowingly collect information from anyone under thirteen. If you believe we have inadvertently collected such information, email charlie@camp-vertex.com and we will delete it.

// 10  ·  CHANGES

We may update this policy occasionally. The version number and effective date at the top of the page tell you when. Material changes will be communicated by email to anyone with an active account or active newsletter subscription.
